We are seeking a highly organized and detail-oriented Order Management Operations Coordinator to join our growing Operations team. This role plays a critical part in supporting our mass merchant and retail business by ensuring accurate order processing, efficient communication, and seamless coordination between Sales, Operations, and our warehouse partners.

The successful candidate will be responsible for managing order entry, invoicing, reporting, and retailer compliance requirements while serving as a key liaison between internal teams. Key Responsibilities

Order Management & Processing

  • Enter and invoice customer orders accurately and efficiently using NetSuite.
  • Process mass merchant orders through EDI platforms and retailer portals.
  • Monitor order status and ensure timely fulfillment across all assigned accounts.
  • Manage order modifications, backorders, and short shipments while maintaining accurate records.
  • Coordinate warehouse courier dispatches and support shipping-related activities.

Account Support & Communication

  • Serve as the primary Operations contact for Sales Representatives regarding order status, inventory availability, fulfillment updates, and account-related inquiries.
  • Maintain strong relationships with internal stakeholders to ensure timely communication and issue resolution.
  • Support customer service activities as needed to ensure a positive customer experience.
  • Develop and maintain a strong understanding of company products and retail account requirements.

Reporting & Analysis

  • Generate weekly and monthly reports, including sales performance, inventory status, purchase order fulfillment, and operational metrics.
  • Monitor account activity and identify potential issues or opportunities for improvement.
  • Assist in maintaining accurate operational data and reporting systems.

Retail Compliance & Operational Support

  • Learn and manage retailer routing guides, compliance requirements, and shipping specifications.
  • Support the execution of retailer programs and initiatives while ensuring operational accuracy.
  • Collaborate closely with warehouse and logistics partners to maintain smooth order flow and resolve fulfillment issues.
  • Assist with special projects and process improvement initiatives as assigned.

Trade Show & Event Support

  • Coordinate product allocation, shipping, and logistics for trade shows and consumer events.
  • Support event setup and operational execution as required.
  • Participate in company-sponsored trade shows and promotional events.

Qualifications

  • Post-secondary education (College diploma or University degree).
  • 1–3 years of experience in Operations, Logistics, Order Management, Customer Service, or a related field.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Excel and Microsoft Office applications.
  • Ability to work independently while contributing effectively within a team environment.
  • Resourceful, proactive, and solution-oriented mindset.

Preferred Qualifications

  • Experience with NetSuite, EDI platforms, Vendor Central, Lingo, HighJump WMS, or similar systems.
  • Experience supporting mass retail, wholesale, or consumer goods accounts.
  • Familiarity with retailer routing guides, shipping requirements, and compliance standards.
  • Experience generating operational reports and analyzing business data.

Additional Requirements

  • Occasional availability outside standard business hours to support West Coast warehouse and logistics operations.
  • Ability to attend occasional in-person meetings, team events, and company gatherings.
  • Participation in consumer trade shows and industry events as required.
  • Ability to work effectively in a remote environment while maintaining strong communication and accountability.
